Description:

Yulong is seeking an experienced Stud Secretary to join our team in Newmarket, UK.

Reporting to the General Manager, you will be responsible for managing all covering enquires/ bookings, maintaining accurate records throughout the breeding season and supporting the stud management team. This role requires a proactive individual with a strong understanding of the breeding industry and stud protocols, with excellent organisational and communication skills.

Key Responsibilities include but are not limited to:

  • Managing bookings, coverings, scans, foaling schedules, and liaising with mare owners, veterinarians, and stallion handlers
  • Scheduling veterinary visits, farriers, transport, and client appointments
  • Maintaining up-to-date breeding and foaling records (manual/ digital systems), ensuring health and movement records (including microchips and passports) are accurate and compliant
  • Managing contracts and insurance documentation, preparing and submitting accurate paperwork for studbook registration and sales entry
  • Processing invoices/ receipts and assisting the finance team with payroll and budgeting
  • General administration including ordering and managing office/ stud supplies, maintaining client databases, managing correspondence and ensuring regular communication updates
  • Greeting and assisting visiting clients, owners, and service providers. Coordination of open days, inspections, and events may also be required on occasions.

Relevant Skills & Experience:

  • Previous experience in a similar role, ideally in the equine or agriculture sector
  • Basic knowledge of breeding cycles, veterinary terminology, and equine husbandry is essential
  • Strong administrative and IT skills (proficiency in MS Office, Google Workspace, and/or horse management software such as Equisoft)
  • Excellent written and verbal communication
  • Ability to manage priorities and work autonomously
  • Discretion and professionalism whilst dealing with sensitive and/ or confidential information.
